Process

Sanctuary Builder believes that a solid operational system with processes, procedures and timetables is our best form of advertising.  When we follow a format of communication, expectations and consistent practices we manage ourselves, trades and the project with the goal of no surprises. We anticipate challenges, overcome obstacles and create solutions to stay on budget and on time with our client’s projects.  Most importantly, we proactively share and set these expectations with our clients; you are constantly updated and informed on the progress of your project. While we have created a system that is turn-key for our clients, you are an integral partner in completing the project. 

Below is our complete process of what to expect during your commercial construction project.  While each job is unique and has its own set of challenges we believe our time-tested methods and practices set us apart from our industry competitors.  Our consistency and forward-thinking solutions is what makes Sanctuary Builder an industry leader.        

Step 1 – Do you have construction plans? If so, please proceed Step 2

Sanctuary Builder has created an in-house design solution to help you from the concept of your project to the construction plans, materials and specifications to build from.  Please refer to our “In-house design page” for complete details.

Step 2- Working with a Business Development Manager

Along with the operational group, the Business Development Managers work closely with our clients to understand their business model, project objectives and company brand.  This information provides us an opportunity to better serve the specific project requirements as well as the growth vision of our clients.  Each project is assigned a Business Development Manager, Estimator, Project Superintendent and Operational Manager; this team approach allows for the expertise of each department to contribute to the client and provide the best solutions. Your Business Development Manager will guide you throughout the entire process and will be there for you from the beginning to end. While they are knowledgeable about construction, they will be consciences and driven by your business model and plan.  

Every member of your project team at Sanctuary Builder takes the responsibility of educating our clients. To start with we take the time to explain your plans in detail.  You should know how to read the blueprints and understand what specifications are called out for bidding.  This instruction to you gives Sanctuary Builder the opportunity to make value engineering suggestions.  We can find details that can save you hundred to thousands of dollars on your project. This understanding will also prepare you to read and compare multiple bids. While we walk you throughout the entire design, contract and construction process, this educational awareness will be experienced throughout your project. 

Through our guidance and vast experience, we make the daunting construction task an educational, enjoyable and rewarding experience for our clients. 

Step 3 – Proposal and Contract Presentation

After a complete review of your plans and discussions regarding specifications we will provide you with an all-inclusive proposal. We are sensitive to your timing and need for information so therefore, we turn-around your project pricing within days of receiving plans. Your Business Development Manager will provide you with a thorough and informative presentation; they will review the budget in detail, discuss the contract and payment requirements and explain our processes. The presentation will leave you with a complete understanding of how we have priced your specific project.

If you are having multiple contractors’ bidding your project will you be able to compare apples to apples? Your Business Development Manager will provide a bid analysis for proper comparison.  While we want to earn your business, we also want to assist you with making a well-informed decision regarding your General Contractor. What selections have been bid?  Have all components been included in the pricing or will you receive change orders after your contract?  We review construction contracts, language and proposals regularly, allow for our expertise to help you decipher the numbers.

Our ultimate goal is to help you grow with a profitable return on your investment. We are not just your General Contractor, we are your Business Relationship Partner who values your business, the vision you have for your company, your budget and the ultimate success of your company. We don’t want you to build only one project, we want for you to build several.  

Step 4 – Contract Signing

Once you have selected Sanctuary Builder as your General Contractor, you will sign the contract for construction and provide us with an earnest deposit to get your project started.  You will receive a signed copy, a letter introducing your project team and a “timetable what to expect” checklist.

Step 5 – Complete Selections Process and Approval

Your plans typically have material selections called out however; these can sometimes be architect “templates” with no consideration for budget or style. To accommodate your budget and design interests, we will review the selections on your plans, review our selection packages and determine how to best proceed.  Our selections packages allows for you to view material options at various price points.  If you approve one of these options you will simply sign off.  If you would you prefer to incorporate unique designer touches, our in-house Interior Designer can accommodate your tastes with a complete design interiors package.  She will meet with you to determine your design goals and objectives, your style and your budget.  From your feedback and direction, she will provide you with material options to choose from and help you create a stylish work space.

Our interest is to provide our clients with turn-key design solutions. Our services are tailored to be flexible for each specific project and client requirements. Whatever selections package you choose from, we promise you it will be easy, enjoyable and stress free.

Step 6 – Pre-Construction Meeting

Your team at Sanctuary Builder will quickly begin working behind the scenes to get your project started.  We will contract the vendors, place product orders and get your project lined up for a seamless construction start. We will perform a Pre-Construction Meeting with you, the Project Superintendent, Business Development Manager and Operation Manager, “your project team”.  We will review the for-construction plans, electrical plans, HVAC plans, material specifications, construction, selection and payment schedules, pricing requests/change order process and schedule the weekly on-site production meeting.

The Pre-Construction Form, Project Process Form, Plans Approval and Selection Dates will be reviewed and executed.  Your understanding and involvement with the process and dates will result in a positive experience through set expectations.  

Step 7 – Construction!

Once the permit is received your construction will immediately begin and you will see work getting completed quickly and efficiently. Our vendor network and internal pre-construction process allows for your construction to start within a day of receiving your permit.  We are as efficient as we are effective at preparing the vendors, team and schedule to constantly move forward.   

You will be able to meet with the team on a weekly basis to review the week’s progress and what is on schedule for the next week. If you are not able to attend the meeting, the meeting notes will be emailed to you. Your Business Development Manager will continue to work with you to make sure all selections are made and approved.

Step 8 – Pre-Drywall Meeting

To ensure all of your electrical needs have been met, we will conduct a Pre-Drywall meeting with you.  We will review all of the locations of outlets, cable, phone and data.  Additions can be made at this time and minimal changes will keep your project moving forward on schedule.

Step 9 – Project Orientation Walk-Thru

Two weeks prior to the completion of your project, your Business Development Manager will contact you to schedule a Project Orientation Walk-Thru. You will also be contacted prior to this date to turn on your electric. The Walk-Thru will be performed with your project team; you will be given an orientation of your new project and an explanation of the warranty process. You will also create a “punch list” of items which need corrected. These items will be performed during the next two days and on the third day you will meet again with the project team to execute a project sign-off form, submit your final payment and receive all of the keys.

Step 10 – Warranty Work

While great detail and attention is given to your project, you should expect there will be items that need to be addressed once you move in. From the date of your Certificate of Occupancy, Sanctuary Builder provides you with a limited 1-year warranty and in some circumstances the manufacturer extends that period.  On our warranty page there is a link to our complete warranty booklet which explains each item, its warranty period and project maintenance tips. In the first year, you should always contact Sanctuary Builder directly for warranty items rather than going to the vendor.  We are always available for assistance however, we encourage you to review the manual should you experience any problems; in some cases you will find procedures to correct the problem quickly and without having to place a service call.
